Privacy Policy

About this policy
Protura Pty Ltd (ABN 30 696 589 063), based in Perth, Western Australia, operates this website. This policy explains how information is handled when you visit our public website, contact us or use our AI enquiry assistant. For privacy questions, contact enquiries@protura.com.au.
Information we collect
When you submit an enquiry, we collect your name, company, business email and message, together with any project, service, location or timeframe details you choose to provide. We also record a submission reference, your approval and delivery status. Required fields are marked on the form; without them, the form cannot be submitted. You can contact us by email instead.
Please provide only information needed for your enquiry. Do not include passwords, identity documents, sensitive personal information or confidential tender and project material.
How enquiries are handled
We use enquiry details to understand your requirements, respond and discuss relevant support. Submitted details are stored by our website service provider and included in an email notification to our authorised team. Access to enquiry records within our application is restricted to administrators. Our contact form and final enquiry-submission process do not send those fields to the AI enquiry assistant.
AI enquiry assistant
The assistant is optional. If you use it, your messages and recent conversation history are sent through our technology providers’ AI services to generate replies and an enquiry draft. This includes any personal information you choose to type into the chat. Add business contact details only in the separate review form.
You can review and edit the enquiry before approving it. The full chat transcript is not attached to the submitted enquiry or its email notification. The conversation is held in the current browser page, but our technology providers may process and retain service or operational records. Closing the chat does not guarantee deletion from provider systems. AI replies may be inaccurate and should be checked.
Technology providers and overseas processing
We use technology service providers for website infrastructure, enquiry storage, AI functionality and email notifications. Email providers also process correspondence with us. These services involve overseas processing; we do not represent that information remains in Australia.
Our website platform provider publishes a subprocessor list and trust centre covering hosting, email, AI and logging providers. Listed processing locations include the United States, Israel, Germany, the Netherlands, the United Kingdom, Singapore and China, depending on the service. The provider used for a particular AI request is managed by our website platform provider and is not identified by this website. See our platform provider’s Data Processing Addendum, subprocessor list and trust centre for its published arrangements.
Website operation and storage
The website uses browser storage for application settings and, where applicable, authentication. Hosting and service providers may receive technical information such as IP addresses, browser details and request or usage records when delivering and protecting the service. The enquiry assistant does not save its conversation in browser local storage.
Retention and security
Submitted enquiries and email copies remain separate from the temporary chat session; they are not automatically deleted when you close the chat. Contact us to ask about retention or request deletion. Requests may need to take account of legal obligations and records required for ongoing work.
We restrict access to enquiry records within the application. No internet transmission or electronic storage can be guaranteed completely secure.
Access, corrections and complaints
Email enquiries@protura.com.au to request access to or correction of your information, request deletion, or raise a privacy concern. Include enough detail for us to locate the relevant enquiry. We may need to verify your identity before providing or changing information. If a concern remains unresolved, you can seek guidance from the Office of the Australian Information Commissioner.
Changes
We may update this policy as our website and services change. The current version and its update date will be published here.
